Begin with the maintenance process you need to control
Maintenance management software helps teams organise equipment records, maintenance requests, scheduled activity and work orders. You may also encounter the term CMMS, meaning computerised maintenance management system. The label matters less than whether the software supports the journey from a reported problem to completed, reviewable work.
For a South African workshop, facilities team or operational business, a sensible starting point is a recurring failure in the current process: requests get lost in messages, planned services are hard to track or equipment history is unavailable when a repair decision is made.
Follow one fault from request to closure
Use a real, anonymised example during a demo. A supervisor reports a problem with a piece of equipment. Someone reviews the request, agrees its priority, assigns the work and records the outcome. A manager then needs to see what remains open and whether the asset is ready for use.
- Asset context: can users identify the correct item without relying on a nickname?
- Requests: is there one dependable place to capture the problem?
- Work orders: are responsibility, status and completion details clear?
- Schedules: can the team see upcoming maintenance activity?
- History and reporting: can managers review prior work and outstanding tasks?
Distinguish essential needs from specialist features
Some teams also need spare-parts stock, purchasing, meter-based servicing, contractor portals or integrations with equipment sensors. Write these down separately and ask the supplier to show how each works. A maintenance module does not automatically include every specialist CMMS capability.
Connectivity also deserves a practical check. Test the intended devices on the sites where work takes place. If work must continue without a connection, make offline operation an explicit acceptance criterion and verify synchronisation before selecting a product.
What does maintenance software cost?
Ask for a quote covering the first year and the expected expansion. Separate subscription fees from asset-data preparation, configuration, training, support and integration work. Confirm whether additional users, sites or asset groups change the price.
Elumio subscriptions start from R3,000 per month, with implementation from R5,000. This is the platform baseline, not a fixed quote for every maintenance deployment. Final scope depends on users, modules, hosting and implementation requirements. Custom workflows and integrations are quoted separately.
A low subscription can still produce a difficult rollout if the asset list is unprepared or nobody owns the work-order process. Include the internal time needed to clean records and train the team in your decision.
Prepare a pilot with evidence you can review
Start with one site or equipment group. Establish its asset list, open requests and upcoming scheduled work. Agree who may raise requests, who assigns work and who confirms completion.
Measure something the team can actually capture: overdue work orders, requests waiting for assignment and time spent assembling the maintenance report. Compare the same measures before and during the pilot. Avoid promising downtime savings before you have a reliable baseline and enough operating history.
Where Elumio fits
Elumio connects asset registers, maintenance requests, schedules, work orders and reporting within its operational platform. That may suit businesses that want maintenance connected to their wider operations. Review the current platform capabilities and demonstrate any specialist requirements before committing.
Should we start with an asset register first?
Usually you need enough reliable asset information to associate work with the correct equipment. You do not need a perfect company-wide register before piloting one group. The asset register guide explains how to prepare the starting data.
Can paper job cards be part of the transition?
Yes, during a controlled pilot, but define which record is authoritative and who reconciles the two. A permanent duplicate process creates extra work. Read how to move from paper job cards to digital work orders, or discuss a maintenance pilot.
