Start with the journey from hours worked to approved records
Time tracking software gives a business a structured way to record employee hours, allocate them to work, review exceptions and approve records for reporting. For a South African SME, the useful question is whether the system removes the corrections and chasing that happen before each reporting or payroll cut-off.
A contractor with staff across two sites may receive one spreadsheet from a supervisor, photographs of handwritten timesheets from another, and corrections over WhatsApp. A shared system can bring those records into one process, but only if the business first agrees who captures time, who approves it and when a period closes.
Five capabilities to test in a demonstration
- Time capture: enter normal work, overtime and corrections using the codes your team actually needs.
- Work allocation: connect hours to the relevant project or operational area so reporting answers more than who was present.
- Approval ownership: show which records are waiting, who reviews them and what happens after a rejection.
- Permissions: demonstrate what an employee, supervisor and administrator can each see and change.
- Exports: use a sample file to check that approved records can support your downstream process.
Ask the supplier to demonstrate a missing entry and a corrected entry, not just a perfect timesheet. Those exceptions reveal whether the product fits everyday work.
Time tracking, attendance and payroll are different requirements
A record of hours does not necessarily prove physical attendance. If you require clocking devices, biometrics, GPS, offline capture or a specific payroll connection, list each requirement separately and ask for a demonstration. Do not assume these features are included because a product offers timesheets.
Likewise, approving overtime records is different from calculating payroll. Your business must confirm its employment rules and payroll requirements with the people responsible for them. A software demonstration should establish how records reach payroll, which steps remain manual and who checks the output.
Compare the complete cost
Request separate figures for subscriptions, implementation, data imports, supervisor training, support and any integration work. Check whether pricing varies by active user, module, site or hosting arrangement, and what happens when the team grows.
Elumio platform subscriptions start from R3,000 per month, with implementation from R5,000. These are platform starting prices, not a universal time-tracking package quote. Final pricing depends on users, modules, hosting and implementation requirements; customisation is scoped separately. The platform page provides the current starting guidance.
Run a pilot through a complete reporting cycle
Choose one team and agree on the measures before starting: time spent chasing entries, records returned for correction and time needed to prepare the final export. Record a baseline from the current process so you have something meaningful to compare.
During the pilot, include an employee working across projects, a late submission and an approver who is unavailable. Reconcile a sample of approved hours with the original work records before treating the export as dependable.
Where Elumio fits
Elumio currently covers time entries, time codes, overtime, approvals, scheduling, work calendars, projects and reporting. HR management, leave management and payroll preparation are planned expansion areas and are not part of the current offering. Ask for your exact workflow to be demonstrated before deciding on fit.
Can we keep our existing payroll system?
Potentially. Start by comparing the required payroll input with the available export. A direct integration may need separate scoping. The pilot should prove the handover rather than assume it.
What should we prepare before a demo?
Bring an anonymised timesheet, your time-code list, approval steps and a sample reporting requirement. These make it easier to assess whether the system improves your actual process. Book an Elumio demonstration around that workflow.
